Microsoft 365 licence review

Every licence checked against how your team works.

Our Licence Health Check looks at each Microsoft 365 licence you hold and the person using it. You get a written report showing where your licences fit well and where they could fit better, with evidence from your own Microsoft account behind every suggestion.

£195 for 1 to 10 people, free if you switch billing to Solvida. £450 for 11 to 50 people, credited in full if you switch within 60 days.

What we check

Six things every review covers.

Who has which licence
Every licence matched to a named person, and whether each plan suits the way that person works. Someone who lives in desktop Excel needs a different plan from someone who works in a browser.
People who have left
Accounts for people who have left or stopped signing in, and whether their licences can pass to someone new. An active account that nobody uses is also a way into your email and files, so we flag those too.
Shared mailboxes and spare licences
Shared mailboxes such as accounts@ can usually run without a paid licence. We also look for licences that were bought but never given to anyone.
Add-ons and trials
Extra subscriptions such as storage, phone calling or a trial, and whether each one is still wanted before it renews.
Renewal dates and terms
When each subscription renews and whether it's monthly or annual, so any change is timed to the renewal and you never pay twice.
Protection that fits
Whether Business Premium would help, for example if an insurer, a client or a Cyber Essentials assessor is asking how your accounts and devices are protected.
How it works

Evidence first, and you decide.

  1. 1

    Book a free 15-minute call

Tell us roughly how many people you have and what you use. If it's clear your licences already fit, we'll say so there and then.

  2. 2

    We review every licence

Each licence is checked against how that person works, using evidence from your own Microsoft account.

  3. 3

    You get a written report

Every suggestion comes with a screenshot and what it means for your bill. Where your licences already fit, the report says so.

  4. 4

    You decide

Nothing changes until you say yes. A spare licence can pass to someone else straight away, and anything no longer needed comes off the bill at its next renewal.

Free self-check

Check your own licences in ten minutes.

Sign in to the Microsoft 365 admin centre at admin.microsoft.com with an admin account, then work through these five steps.

  1. See what you pay for

Go to Billing, then Your products. Each subscription is listed with its renewal date and whether it is monthly or annual.

  2. Count the spare licences

Go to Billing, then Licences. Compare how many of each licence you have with how many are assigned. The difference is licences nobody is using.

  3. Look for people who have left

Go to Users, then Active users, and filter by sign-in blocked. Anyone in that list who still holds a licence is worth a look.

  4. See who uses the desktop apps

Go to Reports, then Usage, and open the Microsoft 365 Apps report. People who only ever use the web versions may suit Business Basic.

  5. Check your shared mailboxes

Go to Teams & groups, then Shared mailboxes. A shared mailbox under 50 GB without an archive usually needs no licence of its own.

Microsoft moves menus around from time to time, so names may differ slightly. If you'd rather not dig, send us a screenshot of the Licences page and we'll give you a free second opinion within one working day.

Questions

About the licence review.

What does a Microsoft 365 licence review cost?

For 1 to 10 people it is £195, free if you switch billing to Solvida. For 11 to 50 people it is £450, credited if you switch within 60 days. For 51 or more it is £450 plus £5 per user over 50. All prices exclude VAT.

Do we have to switch to Solvida?

No. The report is yours to keep and act on however you like. If you do switch billing to Solvida, the fee is free or credited as shown above.

Can licences be reduced straight away?

It depends on the term. Licences on a monthly plan can be reduced at each monthly renewal. Licences on an annual plan can be added at any time but usually only reduced at the renewal date. Microsoft sets these rules, and the review shows you when each change can happen.

What if our licences already fit?

Then we'll tell you. If it's clear on the free call, you won't need the review at all.

Is Solvida a Microsoft partner?

Yes. Solvida is a Microsoft partner and supplies Microsoft 365 business plans to UK businesses, billed monthly or annually. We can also supply licences for other business software, such as backup and Azure.

What happens after the review?

You can make the changes yourself, ask us to make them through Licence Optimisation, or buy your licences through Solvida. If you buy through Solvida, Managed Licensing is included and we review your licences every quarter.

Buy Microsoft 365 through Solvida. Managed Licensing is included.

Every quarter we review your licences and the accounts behind them, so an unused licence is spotted and someone who has left isn't still signed in. Email us when someone joins or leaves. We reconcile it at the next review, or before your renewal date if that comes first. While your licences are billed through us, that costs nothing extra.
